1. Who is responsible for your information
Build Affluence is the trading name of Build Affluence LTD.
For UK data-protection law, Build Affluence is the controller responsible for the personal information described in this notice.

Stripe processes complete payment-card details. Build Affluence does not normally receive or store complete card information.

During VIP coaching, you may record or discuss:
• Income
• Spending

• Workbook calculations and outputs
• Actions agreed during the programme
DIY customers normally keep and control their own Workbook. Build Affluence does not have access unless the customer chooses to share it.
For VIP customers, we may create a private Google Drive folder containing a customer-specific copy of the Workbook. The folder will normally be shared only with the customer and the Build Affluence team members involved in delivering their programme.
The shared Workbook may record file activity, changes and version history associated with the people who access it.
The Workbook allows the coach to prepare for sessions, review progress, check completed sections and support implementation.
We do not need banking passwords, security codes or complete account numbers.
Do not upload bank statements, identity documents, passwords, security information or other unnecessary sensitive documents to the shared folder.
Where a statement needs to be reviewed, screen sharing during a private session is preferred.

We only use identifiable recordings, photographs, testimonials or case studies for public purposes with separate permission.
Customer questions during the Weekly Clinic are not normally recorded.
4. Where information comes from
We normally receive information:
Directly from you
Through the Build Affluence website
Through Stripe
Through email or WhatsApp
Through appointment tools
During private sessions or Clinics
From another adult in your household, where appropriate
From a person who refers you, where they are permitted to share your details
From information entered into or generated by a shared VIP Workbook and its associated Google Drive activity
If another household member provides information about you, we will use only what is reasonably needed to deliver the household service.
5. Why we use information
To respond to enquiries
We use contact details and enquiry information to respond to questions and arrange introductory conversations.
Lawful basis: taking steps at your request before a contract, or our legitimate interest in responding to genuine enquiries.
To process purchases
We use identity, contact and transaction information to process orders, confirm payment and manage refunds.
Lawful basis: performance of a contract and compliance with legal obligations.
To deliver DIY
We use contact and purchase information to send the Workbook and Guide, provide service messages and give access to included support.
Lawful basis: performance of a contract.
To deliver VIP
We use identity, contact, appointment, progress, Workbook and relevant financial information to:
• Deliver private coaching
• Prepare for upcoming sessions
• Review completed Workbook sections
• Check whether agreed actions have been completed
• Identify the current Workbook milestone
• Support the customer’s progress
• Maintain one consistent version of the customer’s financial plan
An assigned coach may review the shared VIP Workbook between sessions where reasonably necessary to prepare for or deliver the programme.
Access is for programme delivery and administration. It is not used for unrelated monitoring or marketing.

To operate the WhatsApp community and Weekly Clinic
We use contact, membership, attendance and question information to manage access, answer questions, moderate the group and protect participants.
Lawful basis: performance of a contract and our legitimate interests in providing a safe and useful customer community.
To send service messages
We use contact information to send delivery updates, progress check-ins, appointment information, Clinic details and important changes.
Lawful basis: performance of a contract.
These messages are separate from general marketing.
To maintain business and financial records
We keep appropriate transaction, tax, accounting and contract records.
Lawful basis: legal obligation and legitimate interests in administering and protecting the business.
To prevent misuse and protect security
We may use account, communication and technical information to detect fraud, protect customers, enforce reasonable community rules and secure our services.
Lawful basis: legitimate interests in protecting customers, systems and the business, and recognised legitimate interests where applicable to preventing or investigating crime.
To handle complaints or legal claims
We use relevant records to investigate complaints, obtain advice and establish, exercise or defend legal rights.
Lawful basis: legal obligation and legitimate interests.
To improve Build Affluence
We may review questions, service patterns and anonymous or aggregated information to improve the Workbook, Guide, coaching and Clinic.
Lawful basis: legitimate interests in improving our products and services.
We do not need to identify customers when anonymous information is sufficient.
To send marketing
We may send optional information about similar Build Affluence products or services where:
You have consented; or
The law permits contact with an existing customer and you were given an opportunity to opt out.
Lawful basis: consent or legitimate interests, subject to electronic-marketing rules.
You can opt out at any time.
To use testimonials, identifiable recordings or case studies
We only use identifiable customer stories, images, recordings or testimonials publicly with separate permission.
Lawful basis: consent.
You may withdraw consent for future use. Withdrawal does not make earlier lawful use unlawful.
6. Information required to provide the service
We need certain information to:
Process a purchase
Deliver files
Arrange sessions
Communicate about the programme
Provide customer support
If you do not provide the necessary contact or transaction information, we may be unable to deliver the purchased service.
You are not required to provide more detailed financial information than is reasonably needed for the support you request.
For VIP, using a shared Workbook helps Build Affluence provide preparation and continuity between sessions.
If you do not want your Workbook stored in a shared Google Drive folder, contact us before the programme begins. We will consider a practical alternative, although this may limit the coach’s ability to review your progress between sessions.
You should only enter information reasonably necessary for the Build Affluence Method.
7. Who we share information with
We may share limited information with trusted providers that help us operate, including:
Stripe for payment processing
Google services for email, calendar appointments, administration, secure file storage and sharing VIP Workbooks with customers and assigned coaches
Add this paragraph beneath the provider list:
A VIP Workbook will normally only be accessible to:
• The customer or household members authorised by the customer
• The assigned Build Affluence coach
• A limited number of authorised Build Affluence team members where necessary for administration, support or service continuity
• Google as the service provider operating the storage platform
We do not make VIP Workbooks publicly accessible or share them using unrestricted public links.
WhatsApp and Meta for messaging and community access
Zoom or Google Meet for online sessions
Website hosting and security providers
Cloud-storage and business-software providers
Accountants, legal advisers and insurers
Contractors or coaches helping deliver the programme
Regulators, courts, law enforcement or public authorities where legally required
Providers must only receive information reasonably necessary for their role.
We do not sell personal information.
We do not provide customer information to unrelated organisations for their own marketing.
8. Coaches and contractors
A coach or contractor may access customer information where necessary to deliver the programme.
They must:
Keep information confidential
Use it only for authorised purposes
Follow appropriate security requirements
Avoid retaining unnecessary copies
Return or delete information when their role ends
9. International transfers
Some providers, including global technology platforms, may process information outside the United Kingdom.
Where UK data-protection transfer rules apply, we will take reasonable steps to ensure an appropriate transfer mechanism is used, such as:

The UK International Data Transfer Agreement
The UK Addendum to approved contractual clauses

10. How long we keep information
We keep personal information only for as long as reasonably necessary.
Typical periods are:
• Enquiries that do not result in a purchase: up to 12 months after the last meaningful contact
• Customer administration and high-level coaching notes: normally up to three years after the last service
• Transaction, invoice and tax records: normally six years after the relevant accounting period
• Complaints and legal records: for as long as reasonably needed to resolve the matter and meet applicable limitation periods
• Marketing information: until you opt out or the information is no longer useful
• Marketing suppression records: minimal information may be retained to ensure we continue respecting an opt-out
• Public testimonials or customer content: for the period covered by the permission provided
DIY Workbooks normally remain under the customer’s control and are not retained by Build Affluence.
A shared VIP Workbook will normally be retained:
• Throughout the active VIP programme
• During any agreed follow-up period
• For up to 90 days after the final private session
At the end of the programme, the customer will be given an opportunity to download and retain their final copy.
After the normal retention period, Build Affluence will delete the shared Workbook or remove the detailed financial information from its active systems, unless:
• The customer has purchased or arranged further private support
• The customer asks us to retain it for an agreed period
• It is reasonably needed for an unresolved complaint
• Retention is required by law or a legal claim
Temporary backups may continue to contain the file for a limited period before being automatically replaced or deleted.
Detailed statements or financial documents sent separately will be deleted when no longer needed, normally within 30 days after the relevant review.
The customer may request earlier deletion of a VIP Workbook. We will comply where we do not have an overriding legal or contractual reason to retain it.
11. Security
We use reasonable organisational and technical measures designed to protect personal information.
These may include:
Access controls
Password and device protection
Limited staff and contractor access
Secure cloud providers
Staff confidentiality
Data minimisation
Deleting unnecessary documents
Avoiding the collection of banking passwords and complete account information
A separate restricted folder for each VIP customer
• Sharing access only with named customer and coach accounts
• No public or unrestricted sharing links
• Periodic review of folder permissions
• Separation of customer Workbooks from the untouched Master Workbook
• Removal of access when it is no longer required
• Version history or backup controls where available
• Instructions telling customers not to upload statements, passwords or complete account information
Customers are responsible for protecting their own Google and email accounts. Tell us promptly if you believe an unauthorised person has accessed your shared folder or Workbook.
No internet or storage system can be guaranteed completely secure.
If a personal-data breach creates a legally reportable risk, we will follow the applicable notification requirements.
12. WhatsApp and group privacy
Your WhatsApp display name, telephone number, profile image and contributions may be visible to other group members.
Do not join the customer WhatsApp group if you are not comfortable with this visibility.

Passwords
Security codes
Complete account numbers
Unredacted statements
Information belonging to another person without permission
Members are asked to respect confidentiality, but Build Affluence cannot guarantee another participant’s conduct.
You may contact us if you want support outside the group or wish to leave it.
13. Recordings
Private coaching sessions are not recorded unless everyone involved has agreed in advance.
For the Weekly Clinic:
Host-led teaching may be recorded.
Customer questions and discussions are not normally recorded.
Identifiable customer contributions will not be used publicly without separate permission.
Customers must not record sessions without permission.
14. Marketing choices
You can opt out of marketing at any time by:

Opting out of marketing does not stop essential messages about a product or service you purchased.
15. Cookies
The Build Affluence website may use cookies and similar technologies.
Strictly necessary cookies may be used to provide security and essential website functions.
Analytics, advertising or other non-essential cookies will only be used in accordance with applicable consent requirements.

16. Automated decisions
Build Affluence does not currently make decisions producing legal or similarly significant effects using solely automated processing.
The Workbook may calculate outputs based on information entered by the customer. These calculations support the Method but do not replace human judgment or specialist advice.
17. Your rights
Depending on the circumstances, you may have the right to:
Ask for access to your personal information
Ask for inaccurate information to be corrected
Ask for information to be erased
Ask us to restrict how information is used
Object to certain uses
Receive certain information in a portable format
Withdraw consent
Object to direct marketing
Complain to the Information Commissioner’s Office
These rights are not all absolute and may depend on the lawful basis and circumstances.

18. Your right to object
You have an absolute right to object to your personal information being used for direct marketing.
You may also object where we rely on legitimate interests. We will stop unless we have a compelling lawful reason to continue or need the information for legal claims.

20. Children
Build Affluence products and services are intended for adults aged 18 or over.
We do not knowingly sell to or collect customer information from children.
21. Changes to this notice
We may update this notice when our services, providers or legal obligations change.
The latest version will show its effective date.
If a change materially affects how existing customer information is used, we will provide an appropriate notice before the new use begins.
